Privacy Policy

Effective April 18, 2026

Real Time Networks (“RTN,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect when you visit rtnus.com, how we use it, who we share it with, and the choices you have. By using the site, you agree to the practices described here.

Information we collect

We collect information in three ways:

1. Information you provide directly

When you submit a contact form, request a quote, book a meeting, download a resource, or call a phone number published on the site, you may provide your name, business name, email address, phone number, and the details of what you’re asking about.

2. Information collected automatically

Our servers and the measurement tools described below can collect technical information automatically: IP address, browser type and version, operating system, referring URL, pages visited, date and time of visit, and approximate geographic location derived from IP address.

3. Information from phone calls

When you call any Real Time Networks phone number — our main business line, a demonstration line on a product page, or a direct number a team member has shared — call details are logged and, as described in the next section, calls may be recorded.

Phone calls and call recording

All calls to and from Real Time Networks are recorded for quality assurance, training, and dispute resolution. This applies to our main business line, our demonstration numbers, any direct line our staff may share with you, and any call placed through an RTN-provisioned AI agent on your behalf. Calls may also be transcribed to a text record.

Recordings are stored securely, used only for the purposes stated above (plus any legal obligation we’re required to meet), and are not sold. Access is limited to team members who need it for those purposes.

If you prefer not to be recorded

If you’d rather not be recorded, please contact us by email at tims@rtnus.com instead of calling. We’ll respond in writing and handle your inquiry without a recorded conversation.

If you’ve already spoken with us and would like the recording of that specific call deleted, email us the approximate date, time, and phone number you called from and we’ll delete the recording (subject to any legal retention requirement that applies to that specific call).

Text-back demos and SMS replies

Some pages on rtnus.com invite you to call a live demonstration line and hang up; the system then sends you a text message in reply. The Call Coverage AI demo works this way. When you place that call, your phone number is captured via caller ID and used for one purpose: to send you a responsive SMS from Real Time Networks in direct response to the call you made.

By calling the demo line, you provide consent for RTN to send that responsive reply and any further messages you choose to continue by replying. Typical frequency: one reply per call, plus any follow-ups you continue. Reply STOP in that conversation to opt out at any time; we honor STOP immediately. Reply HELP for help. Standard message and data rates from your mobile carrier may apply.

We do not use the number you call from for marketing unrelated to the demonstration unless you separately opt in — for example, by replying YESto a follow-up prompt inviting you to receive periodic updates about RTN’s AI customer-capture and nurture products. We do not sell or share the number with any third party for their own marketing.

How we use information

We use the information we collect to:

  • Respond to your inquiry and provide the services you request.
  • Send you requested resources (white papers, checklists, product information).
  • Follow up by phone, email, or text to continue a conversation you started with us.
  • Send occasional marketing communications about products you expressed interest in. You can opt out of marketing emails at any time using the unsubscribe link in every message.
  • Measure how visitors use the site so we can improve content and performance.
  • Detect and prevent fraud, spam, and abuse of our forms and phone numbers.
  • Comply with legal obligations.

How we share information

We do not sell your personal information. We share information only with the categories of recipients described below:

  • Service providers who help us run the site and our business — including our website hosting provider, our customer relationship management (CRM) platform, our email delivery platform, our measurement and analytics tools, and our voice, communications, and scheduling platforms. These providers may only use your information to provide services to us, and they are contractually required to keep it confidential.
  • Legal and safety recipients when we’re required to disclose information to comply with law, to respond to a valid subpoena or court order, or to protect the rights, property, or safety of RTN, our customers, or others.
  • Business transfers if we are involved in a merger, acquisition, reorganization, or sale of assets, in which case your information may be transferred as part of that transaction.

Cookies and tracking

We use cookies and similar technologies for three purposes: making the site work (strictly necessary cookies), measuring how visitors use the site (analytics cookies), and advertising (marketing cookies). Analytics and marketing cookies only load if you give consent through our cookie banner. For details on the specific cookies in use, see our Cookie Policy.

The measurement and advertising tools we use include Google Analytics 4, Google Ads, Meta (Facebook and Instagram) Pixel, LinkedIn Insight Tag, and Microsoft Clarity. You can opt out of each at the provider level, and you can decline our cookie banner entirely — which blocks all non-essential cookies site-wide.

Your rights and choices

Depending on where you live, you may have the following rights regarding your personal information:

  • Access — ask us what information we hold about you.
  • Correction — ask us to correct information that’s inaccurate or incomplete.
  • Deletion — ask us to delete your information, subject to legitimate business and legal retention needs.
  • Opt-out of marketing — unsubscribe from any marketing email, reply STOP to any marketing text, or contact us directly.
  • Opt-out of sale or sharing — we do not sell personal information, so there’s nothing to opt out of here. If that changes, this policy will be updated.

To exercise any of these rights, email tims@rtnus.com. We respond to verified requests within a reasonable time, and in any case within the period required by applicable law.

California residents

If you’re a California resident, the California Consumer Privacy Act (CCPA, as amended by the CPRA) gives you additional rights, including the right to know what categories of personal information we collect, the right to request deletion, the right to correct inaccurate information, and the right to opt out of sale or sharing. The rights summary above reflects these protections. We do not sell personal information and we do not share it for cross-context behavioral advertising as those terms are defined under the CCPA.

Data retention

We keep your information for as long as we have an active relationship with you or your company, plus a reasonable period afterward for record-keeping, legal, and tax compliance. If you’ve asked us to delete your information, we’ll delete it as described in “Your rights and choices” above, subject only to legitimate retention needs.

Security

We use administrative, technical, and physical safeguards to protect your information. No system is perfectly secure, but we work with reputable providers, encrypt data in transit, limit internal access on a need-to-know basis, and keep our infrastructure patched and monitored. If we ever discover a breach affecting your information, we’ll notify you in accordance with applicable law.

Children’s privacy

This site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected such information, please contact us and we’ll delete it.

International visitors

RTN is based in the United States and the information we collect is stored and processed in the United States. If you’re visiting from outside the United States, please be aware that your information will be transferred to, stored, and processed in the United States, which may have different data protection laws than your home country.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we’ll update the “Effective” date at the top of this page. Material changes will be announced more prominently — by an in-page notice, by email if we have your address, or both.
